Every booking follows the same spine. Packdown tracks it end to end — nothing falls through the cracks and nothing lives in someone's inbox.
Log the event — type, date, client, venue, timings, budget, and agent brief. Assign a pipeline status and track it from first contact to close. All internal notes stay inside the workspace.
Shortlist bands from your roster and send an availability request. The Band Admin responds in their own Packdown account — available, unavailable, available with changes, or needs more info. You see the response in the workspace.
Once you have a band response and the client is close to confirming, place a hold. Holds are database-protected — two enquiries cannot hold the same band on the same date. If the enquiry falls through, release the hold with a reason.
Client confirms — you convert the hold into a booking. This locks the hold, creates the booking, generates the first version of booking terms, and writes an activity entry, all in one step. The gig automatically appears in the band's own Packdown diary.
Packdown generates a booking terms document for the band automatically — covering event details, timings, venue, agreed band fee, and agent brief. If you later change a material detail, a new version is issued automatically.
The Band Admin reviews the terms inside their own app and acknowledges them. This moves the booking to confirmed status on the agency side. If terms are updated, the band must re-acknowledge before the booking is treated as confirmed again.
Maintain a full roster — genre, location, fees, tags, relationship status. Create a shell record, nominate a Band Admin, send the invite. When they accept, the shell becomes a live linked band. Agency bookings then flow into their diary automatically.
Your own client and venue records, separate from any band's data. Add a new client or venue inline while filling out an enquiry — no need to leave the form. Records are archived rather than deleted, so historical bookings keep accurate snapshots.
A single monthly calendar across all managed bands — showing enquiries, active holds, and confirmed bookings in one view. Filter by band or activity type. Private band gigs show as "Private gig" — you can see the date is occupied without seeing any details.
Owner, Admin, Manager, and Viewer roles for your workspace staff. Commercial data — client fee, band fee, margin — is visible only to permitted roles. A Manager can run the full booking workflow without seeing the financial picture if you choose to restrict it.
Each confirmed booking has a job sheet — event facts, client and venue snapshots, timings, agent brief, booking terms status, band acknowledgement count, contract tracking, and a full activity trail. Nothing gets lost between conversations.
Total enquiries, confirmed booking count, open pipeline, conversion rate, and pipeline health — all filterable by date range and exportable to CSV or PDF. Dashboard overview gives you a quick read on what's active right now.
Client fees, band fees, and agency margin are workspace-only fields. They never appear in any band-facing view. Bands see only their agreed fee and the information explicitly included in their booking terms.
Each band you manage keeps its own Packdown account and its own data. If the agency-band relationship ends, the band retains everything and you lose access from the workspace. Agency workspace records — clients, internal notes, commercial data — stay with you.
Private gigs in a band's own diary appear as "Private gig" on the agency calendar. You can see a date is occupied; you cannot see any details.
The Agency Workspace and the standard Packdown band product run on the same platform — but they're separate operating modes with separate access layers. Agency staff are not musicians. They don't appear in band line-ups, gig payouts, or availability calculations.
When an agency booking is confirmed, it automatically creates a gig in the band's diary. The band sees the job date, venue, their agreed fee, and the agent brief. Nothing else crosses over.
